Care practices edition
A visiting practice runs on one fact: who saw whom, where, for how long. Record that once and the roster, the timesheet, the progress notes and the month's invoices are all the same log read differently — rather than four documents that have to agree.
Who it's for
Therapy practices contracting to care homes.
The workflow
The month is the unit of work, and closing it is what makes the numbers final.
Homes carry their contact details and their billing rate. Residents belong to a home. A therapist is a roster entry first and an account holder second, so someone can be scheduled before they have ever signed in — and invited to their own login later.
A visit is started and ended live rather than typed up afterwards, so the hours recorded are the hours that happened. Billable hours are carried separately from elapsed ones.
Progress reports are written against the visit they belong to, roughly one per hour of session, so the clinical record and the billing record never drift apart.
Closing the period materialises that month's invoices. After it closes, changing a home's rate applies going forward — it cannot quietly rewrite what was already issued.
Invoices render per home from your own uploaded .docx template, with the timesheet they were computed from sitting behind them.
What you get
Each of these is a page in the signed-in app today, and which of them a given person can open is a per-role grant rather than an all-or-nothing login.
What needs attention today, plus delivery, money and reporting for the selected month.
The care homes you visit, each with its contact, its invoice address and its billing rate.
Residents treated, each belonging to one home, with their profile and visit history.
The roster, and the invite that turns a roster entry into someone who can sign in.
The visit log itself — started and ended live, carrying hours and billable hours.
Progress reports written per visit, listed for the month.
Hours by therapist for the selected month, which is what the invoices are computed from.
Per-home invoices for the month, and the period close that freezes them.
The .docx templates invoices are rendered from, uploaded and versioned by you.
Underneath
Tenancy, roles, invites, documents and background work are shared by every edition and built once. What differs is the pages above — which is why a new industry is a set of screens rather than a second product.
